Indirect Cost Rates - Facilities and Administration

The new rate agreement is effective 6/7/2024 and will be applicable to any new or renewing proposals submitted. Existing awards or continuations to existing awards will retain the indirect rate in place for the award over the life of the project.

The new indirect rates in effect now and to be incorporated in new proposals are as follows:

·	56% for on-campus research
·	52.5% for instruction
·	35% for other sponsored activities
·	26% off-campus rate for all sponsored projects (where rent is specifically allocated as a direct cost).

MTDC includes all budget costs excluding capital equipment and equipment fabrication, capital expenditures, rental costs, STEM tuition, scholarships and fellowships, participant support costs and subcontract amounts in excess of $25,000 (indirect is calculated on the first $25,000 of each subcontract). The "Off-Campus" rate is used when the activity is performed in facilities not owned or maintained by UTA and rent is directly allocated to the project for the use of those facilities Actual costs will be apportioned between on-campus and off-campus components. Each portion will bear the appropriate rate.

Fringe Benefit Rates

University of Texas at Arlington (UTA) calculates fringe benefit rates at 29.3% for faculty, 35.7% for staff, 14.4% for doctoral-level graduate students and 9.2% for master-level and undergraduate students, part-time and hourly employees. UTA fringe benefit estimates are based upon actual payroll and benefit costs for the fiscal year ending August 31, 2024 and were included in our Fringe Benefit Rate proposal submitted to the DHHS CAS in May 2025. In anticipation of a negotiated approved fringe benefit agreement, UTA had adopted these estimates for budgeting purposes while continuing to charge actuals by employee until an Agreement is received.

Upon award, direct charges for actual expenses incurred for each employee are made to the allocable funding source with the exception of Leave Payouts which are charged at a negotiated rate. Once a Fringe Benefit Rate Agreement is received, UTA will transition to using the negotiated rates.
